Indian Oil Corporation (IOC), one of the largest oil companies in India, required a more efficient system to manage the lifecycle of work permits across their departments. The existing platform was cluttered, outdated, and lacked visibility into permit statuses and vendor activity. The goal was to design a clean, structured dashboard that simplifies work permit handling and enhances operational tracking for engineering teams.
Challenge
The primary challenge was overhauling a legacy interface used by multiple departments with differing needs. IOC's internal teams handled hundreds of permits per month, often struggling with outdated UI, redundant flows, and low data visibility. The system had to accommodate different permit types, completion states, assigned vendors, and associated documentation - all without overwhelming the user.
Another layer of complexity was ensuring the platform could be adopted by on-ground engineers and administrative staff with varying levels of tech familiarity.
Solution
A dedicated Work Permits section that shows permit stats, pending statuses, and active requests at a glance.
Filterable tables with quick actions (mark as complete, download report, etc.)
Graph-based summaries to show completion rates and location heatmaps.
Improved readability through color-coded tags for criticality and vendor status.
Each module was optimized for speed and clarity, with form inputs made accessible for both desktop and tablet-based use on-site.
Results & Impact
Post-design rollout, internal teams reported higher task completion accuracy and faster onboarding of new staff. The heatmaps and visual graphs made it easier for managers to track operations and take action proactively. Field engineers were able to pull up vendor details or permit statuses on the go without relying on manual reports.
Conclusion
This project proved that even enterprise tools with dated architecture can be brought to life with the right UX lens. For IOC, we delivered more than a UI facelift - we restructured how data was consumed and tasks were managed, enabling real-world utility for large-scale operations. The redesigned dashboard continues to serve as a foundation for further enhancements in their internal tooling stack.
